Time Tracking Software Pricing: What Freelancers and Teams Pay
Time tracking tools can look inexpensive until you need approvals, billable rates, project budgets or client invoices. This guide compares published US prices for three popular options and calculates the seat-based portion of a five- or ten-person team's bill. The important distinction is whether the subscription is just a timer, a reporting workspace, or a billing workflow—and whether the vendor charges for usage beyond seats.

Why the cheapest seat price can cost more
- Feature gates: Identify whether you need approvals, billable rates, expenses, project budgets, custom reports or single sign-on. These may sit on higher tiers.
- Billing integration: If the goal is to invoice clients, check whether the tool generates invoices or only exports tracked hours for another product.
- Seat definitions: Verify whether invited, active, deactivated and kiosk-only users are billed differently.
- Usage-based charges: Ask Harvest to estimate the actual bill for your number of clients, projects, tasks and invoices. Starting seat prices do not reveal the entire cost.
- Privacy: Time tracking is different from screenshots, activity monitoring or GPS. Confirm which monitoring features are enabled and communicate the policy to workers.
- Data portability: Before switching, test a CSV export of time entries, clients, projects and billable rates. Check whether invoice records migrate separately.

StackPick verdict
The bottom line.
If you only need a timer, test the free plans before paying. Clockify offers several clear paid tiers for approvals, invoicing and project-cost controls; Toggl Track is worth pricing when its team reports and planning features solve a real workflow problem; Harvest is strongest when time tracking and client invoicing belong together, but ask for a realistic quote that includes usage-based charges rather than comparing only its starting seat price.
